Personal Data Protection Notice (KVKK)

1. Data Controller

Under the Turkish Personal Data Protection Law No. 6698 (“KVKK”), your personal data is processed by Prof. Dr. Harun Çöloğlu (the “Data Controller”) within the scope described below.

  • Identity and contact data: Name, surname, phone number, country/city.
  • Request and message content: Information you send us via the contact form, phone or WhatsApp.
  • Special categories of personal data (health data): Only health information you choose to share in your message. You are not required to share health data; the information needed for a pre-examination assessment is collected separately during the consultation.
  • Transaction security data: IP address, date and time of form submission, browser information.
  • Marketing/measurement data: Site usage and ad interaction data collected via cookies, only if you give your consent (see our Cookie Policy for details).

3. Purposes of Processing

  • Responding to your information and appointment requests and contacting you,
  • Planning the examination and treatment processes,
  • Ensuring the security of the website and preventing misuse (spam, etc.),
  • Measuring website traffic and advertising performance, if you give your consent,
  • Fulfilling legal obligations and responding to requests from competent authorities.

4. Legal Grounds and Method of Collection

Your personal data is collected electronically through the contact forms on our website, by phone, via WhatsApp and through cookies. It is processed under Article 5/2 of the KVKK on the legal grounds that it is directly related to the establishment or performance of a contract, necessary for the Data Controller to fulfil its legal obligations and necessary for the Data Controller’s legitimate interests, provided that it does not harm your fundamental rights and freedoms; and, for non-essential cookies and health data, on the basis of your explicit consent under Articles 5/1 and 6 of the KVKK.

5. Transfer of Personal Data

Your personal data is not sold and is not shared with third parties for advertising purposes. Limited to the purposes above, your data may be transferred to:

  • The healthcare institution where treatment is provided (Memorial Bahçelievler Hospital),
  • Service providers supplying hosting, e-mail and form infrastructure,
  • Competent public institutions and organizations (where legally required).

Our website uses spam protection (Google reCAPTCHA) and, subject to your consent, measurement services (Google Tag Manager, Google Analytics, Google Ads). As the servers of these services are located abroad, the relevant data may be transferred abroad in accordance with the safeguards set out in Article 9 of the KVKK.

6. Retention Period

Data submitted via the contact form is kept for a maximum of 2 years from the conclusion of your request; records that turn into a treatment process are kept for the periods required by the applicable health legislation. At the end of these periods, the data is deleted, destroyed or anonymized.

7. Your Rights under Article 11 of the KVKK

By applying to the Data Controller, you have the right to: learn whether your personal data is processed; request information if it has been processed; learn the purpose of processing and whether it is used in line with that purpose; know the third parties in Türkiye or abroad to whom it is transferred; request correction if it is incomplete or inaccurate; request its deletion or destruction under Article 7 of the KVKK; request that these actions be notified to the third parties to whom it was transferred; object to any adverse result arising from analysis exclusively by automated systems; and claim compensation for damages arising from unlawful processing. You may withdraw your explicit consent at any time.

You can send your applications in writing to the address above, in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller. Applications are answered free of charge within 30 days at the latest.
